Users 🐱

Everyone who works with the application is called a user 😎. You can become a user if you are a client of the company (you or your child attend classes) or if you are hired. In this case, your role in the system will be called employee. There is also a scenario where you are both a client of your company and an employee simultaneously.

To become a user, you can register by clicking the registration button on the main page of the CRM system.

To become an employee, an administrator must invite you to the system as an employee via email, or change your role in the system if you are already a system user as a client.

The main difference between the user and employee roles lies in access to application functionality. Employees constantly enter and modify information and have access to many clients, while users can usually only view their personal information.

Employees have their own lifecycle. They are hired (added to the system), work (active users), and leave the company (are archived).

To add employees, there is a special "Invite" button on the control panel. This button is only available to employees with administrator access or higher. When you click it, you need to enter the future employee's email address in the form and click the "Invite" button.

💡 Important! Despite its apparent simplicity, in our experience, this step is prone to the most human errors. People copy and paste, write addresses with mistakes, confuse emails from different providers, mix up underscores and hyphens, and the confirmation emails do not reach them.

Be careful! The employee will receive an email similar to the one shown below.

They need to click the "Confirm" button. Upon confirmation, the user will be automatically redirected to an address and prompted to enter and confirm their password. After this, the employee can log into the system independently using their login (email address) and password.

💡 Important! After sending the email, the account activation link is valid for three days. After that, the email will need to be resent from the user window.

Simply being added to the system provides very limited access to functionality. Therefore, in addition to adding the user to the system, you need to take care of their access permissions. More details on this are in a separate article.

If an employee decides to leave your company, you must archive them. To do this, you need to go into the employee's profile and click the "Archive" button. Automated actions such as workload calculation and other processes will cease for all archived employees. The employee's lifecycle is complete.

If an employee is away temporarily (due to illness, maternity leave), they can be reactivated in the system by clicking the "Activate" button. They do not need to be invited again.
