Sales Funnels 🌪️

Sales funnels in the system are a flexible tool for managing deals and analyzing their progress. This section provides a detailed description of the functionality for working with funnels, including creation, stage setup, deal management, integration with automations, and the use of customizable properties.

Creating a Sales Funnel

To create a new sales funnel, follow these steps:

  1. Go to the "Sales" section.
  2. Click the "Add Funnel" button.
  3. Enter the name of the funnel.
  4. Save the funnel. After that, you can add funnel Stages, deal sources, and loss reasons.

Managing Stages

  1. Add funnel stages by clicking "Stages" in the context menu of the selected funnel.
  2. Enter the name of each stage.
  3. Change the order of stages if necessary.
  4. Ideally, give each stage its own color. You'll find out why later.

Managing Deal Sources

  1. Go to the "Sources" section from the context menu of the selected funnel.
  2. Click "Add".
  3. Enter the source name using Latin letters (e.g., Instagram, site-form).
  4. Save the source.

Deal sources are used to analyze the effectiveness of customer acquisition channels.

Adding Loss Reasons

When a deal is lost, it's ideal to systematize the reasons for failure to identify consistent patterns that require correction in the sales system.

  1. Go to the "Loss Reasons" section from the context menu of the selected funnel.
  2. Click "Add Reason".
  3. Enter the name of the reason (e.g., "High Price", "No Need").
  4. Save the reason. Loss reasons help analyze why deals don't reach completion.

Note: You can create multiple funnels for different products or processes.

Customizable Properties

By default, the deal card includes properties such as: "responsible", "source", and "loss reason". Customizable properties allow you to adapt the deal card to your unique business processes. Adding customizable properties:

  1. Go to the "Properties" section from the context menu of the selected funnel.
  2. Click "Add".
  3. Select the property type (text, number, date, list, etc.).
  4. Enter the name of the property and, if necessary, make it mandatory to fill out at certain stages of the funnel.
  5. Save the property. Example of use: • Create a property "Trial". • Make it mandatory at the "Awaiting Payment" stage.

Customizable properties can be defined as mandatory for any stage. This will prevent unfilled deals from being moved to mandatory stages.

Adding Deals to the Funnel

A deal consists of two sections: the client section and the deal section itself. As soon as there is enough data to create a client, it will be created automatically. In addition, the system will try to find existing clients by phone number and last name and will provide hints.

If you hover over a stage, a tooltip with the stage name will appear.

  1. Click "Add Deal" or "+" at the top of the stage.
  2. Fill in the deal fields, select the stage where the deal should be located. Mandatory fields will be marked with an asterisk*.
  3. Fill in additional information if necessary.
  4. Use customizable properties to add unique fields required for your business.
  5. Save the deal.
  6. Be sure to assign a responsible person for moving to the next stage and set a task linked to the deal. This is necessary to prevent deals from lingering at a stage.

Moving Deals Between Stages

  1. You can move deals between stages by simply dragging the deal to the next stage.
  2. If the deal has mandatory fields to be filled for the next stage, the deal will return and will not allow itself to be moved.
  3. You can also change the stage when editing the deal by selecting a new stage.

Integrating Funnels with Automations

You can set up automatic actions when moving deals between funnel stages:

  1. Go to the "Automations" section.

  2. Click "Add Automation".

  3. Select the trigger "Deal added to stage".

  4. Specify the stage to which the deal transitions to trigger the automation.

  5. Add an action (e.g., "Create Task").

  6. Save the automation.

    Example of use: • Trigger: Deal moves to the "Trial Scheduled" stage. • Action: Create a reminder task for the administrator.

Deleting Funnels and Stages

You can add, modify, and delete funnels. Deleting a funnel also deletes all associated deals and data.
