Process automation plays a key role in the modern world. It not only reduces the time spent on routine tasks but also minimizes human errors, increases process transparency, and improves interaction between employees. 📊🤖 Many processes in companies are cyclical and repeat daily or monthly 🐣🐤🐥. Implementing automated solutions allows focusing on strategically important tasks, delegating routine to systems. 🎯
Automation Fundamentals
Automations are added to the system using the ⚡ button. If the button is highlighted, it means you have an active automation linked to the entity displayed on the screen (e.g., groups, pipelines, tasks, etc.). Automations consist of two main components: a trigger (the condition for activation) and an action (the task to perform).
Creating an Automation
To create an automation, follow these steps:
- Click the ⚡ button at the top of the screen → select "New Automation".
- Automation Name (optional): Enter a name to easily identify the automation in the future.
- Select a Trigger:
- Click "New Trigger" to create a launch condition.
- Choose a suitable trigger from the list (triggers depend on the context of the screen you are on).
- Click "Done". See below for more on trigger types →
- Add an Action:
- Click "New Action" to create an action.
- If necessary, add additional actions by clicking "Add Action". See below for more on action types →
- Create Automation: Click "Create". The automation will activate every time the trigger conditions are met.
Automation Example
- Trigger: Trial lesson scheduled.
- Action: Automatically create a task for the administrator.
- Result: The administrator promptly contacts the client, reminding them about the lesson, which improves the client experience and increases their loyalty. 🤝📅
Managing Automations
After creation, an automation can be:
- Modified: Edit the triggers or actions.
- Disabled: Click the "Active" button (it is highlighted) to disable the automation. Once disabled, it will no longer trigger when the conditions are met.
- Deleted: Remove the automation if it is no longer needed.
Viewing All Automations
All active automations in the application can be viewed in the section: Settings → Application → Automations.
Usage Recommendations
- Avoid Duplication: We have prohibited the creation of exact duplicates of automations, but partial duplication is possible. This can lead to conflicts and undesirable results, so try to avoid such situations.
- Test Automations: Before active use, ensure that the automation works correctly. Test the triggers and actions using test data.
- Optimize Processes: Regularly review automations to ensure they align with current business processes and do not create unnecessary load on the system.
